Add Work Allocation

To add a new work allocation for any group, follow the steps mentioned below:

  1. Click on the Add Work Allocation button.

     2. Following page will be displayed.

On this page, users need to configure different details on each step displayed on this page:

  1. Select Groups
  2. Select QAs
  3. Specify Work Allocation Contact Type
  4. Publish

     3. Under Select Groups, configure the following details.

  • Select Group – Select the required Work Allocation Group from the dropdown list which displays all the groups created from the Work Allocation Group page. To know how to add groups, refer to Add Work Allocation GroupThis is as shown in the screen below:

    • The required group can also be searched by entering the specific keywords in the search box displayed on the dropdown list. Based on the entered keywords, the group will be sorted as shown below:

  • Once the group is selected, it will be displayed in the grid as shown below:

On this grid, following columns will be displayed:

    • Group – Displays the name of the selected work allocation group.
    • No. of Agents – Displays the number of agents who are a part of the selected work allocation group.
    • Agent Quota – Enter the number of evaluations to be performed for each agent of the selected work allocation group by the QAs, in the textbox provided under this column.

    • Total – It displays the total number of evaluations to be performed for the selected work allocation group. For example, If No. of Agents = 5 and Agent Quota = 10, then Total will be equal to 50.

Note: Here, the Agent Quota can be provided only to a single Work Allocation Group.

  • Now, to move to the next step, click on Next button as shown highlighted in the screen below:

  • Then, the second step – Select QAs will be displayed.

     4. Under Select QAs section, configure the following details:

  • Select QAs: Select the required QA from the dropdown list as shown in the screen below:

    • The required QA can also be searched by entering the specific keywords in the search box displayed on the dropdown list. Based on the entered keywords, the names will be sorted as shown below:

  • Once the QA is selected, it will be displayed in the grid as shown below:

On this grid, following columns will be displayed:

    • QA – Displays the name of the selected QA.
    • Share (Percentage) – Enter the share of evaluations to be performed by the selected QA. The value should be entered in percentage in the text box provided under this column.

    • No. of Evaluations per QA – It displays the total number of evaluations to be performed by the selected QA based on one’s share. For example, If Jordan’s group has 190 evaluations to be performed in total, and Jordan’s Share (Percentage) = 50%, then No. of Evaluations per QA for Jordan will be equal to 25.

  • Similarly, multiple QAs can be selected and their individual share of performing the evaluations can be configured.

Notes: 

  1. Make sure to enter such value under Share (Percentage) which makes the No. of Evaluations per QA as a whole number. No. of Evaluations per QA cannot be in decimals.
  2. Evaluation allocation should not exceed 100%.
  • Based on the allocation of evaluation for each of the QA, the total of percentage of allocated evaluations will be displayed as shown highlighted in the screen below:

Note: It is mandatory to allocate 100% of the evaluations.

  • Delete – To delete any of the QA from the grid, click on the Delete  icon displayed under this column. This is as shown in the screen below:

  • A confirmation message pop-up will be displayed and click Ok button on this pop-up as shown below:

  • To navigate back to the previous page, click on Previous button as shown highlighted in the screen:

  • Now, to move to the next step, click on Next button as shown highlighted in the screen below:

  • The next step – Specify Work Allocation Contact Type – will be displayed:

     5. Under Specify Work Allocation Contact Type section, configure the following fields:

  • Work Allocation Contact Type – The Manual radio button will be by default selected as the contact type.
  • Manual – To manually assign the client and its program to the QAs whose evaluations should be performed by them.
  • Click on the Next button to move to the next step.

  • The last step – Publish – will be displayed as shown below:

     6. Under Publish, configure the following fields:

  • Work Allocation Name – Enter the name of the work allocation to be assigned to the QAs in the text box.
  • When you want activate this work allocation – Users can schedule when the work allocation assignment process should be activated once it is published. Select one required option from – Now and On.
    • Now – When this radio button is selected, the work allocation assignment cycle will begin as soon as this queue gets published.

Note: Once the activation type Now is selected, allocation will be done immediately, and no further changes can be done on it. If this allocation is updated, then the changes will be applied on the next cycle.

    • On – When this radio button is selected, the users are required to configure the following fields to schedule when the work allocation assignment cycle should begin:

      • Date – Select the date from the date picker to schedule when the work allocation assignment cycle should begin. 

  • End Date – Users can schedule when the work allocation assignment process should be deactivated once it is published. Select one required option from – Never and On.
    • Never – When this radio button is selected, the work allocation assignment will be processed forever.

    • On – When this radio button is selected, the users are required to configure the following fields to schedule when the workload assignment cycle should be stopped:

  • Work Allocation Frequency – To set the frequency of the work allocation, select the required option from the dropdown list – Daily, Monthly, Weekly.
    • If Weekly or Monthly option is selected, then set the frequency value by selecting one option from the Occurs every dropdown list.

  • Once all four steps to add a new work allocation are configured, click on Submit button as shown below:

  • A confirmation pop-up will be displayed. Click OK button on this pop-up to confirm the deletion, else click on the Cancel button as shown below:

Once confirmed, an acknowledgement message will be displayed:

The new added workload will be displayed on the Work Allocation page as shown below:

Note:

  1. Supervisors and Admin will be able to check the evaluations assigned to the QAs from Evaluation/ATA from their respective consoles. 
  2. For QAs to view these assigned evaluations in their own console, Supervisor and Admin must firstly, change the evaluation status from Not Evaluated to In Progress from Evaluation/ATA.
